GDPR

As of the 25th May 2018 the laws regarding data protection have changed. This only builds on how we protect your information already however to comply with the new rules please find the below updated information.

We will only use the information that we collect about you lawfully in accordance with the EU General Data Protection Regulations (GDPR), Data Protection Act 1998 and the Privacy and Electronic Communications (EC Directive) Regulations 2003.

If for any reason you would like us to remove your details from our records, simply contact us directly at info@springvaleleather.co.uk or 01706 211830.

Customers of Springvale Leather

We use a system called SV5 to process any orders we receive. This holds details of your name, address, phone numbers, where you heard about us and email addresses in addition to what items you have purchased from us. Each staff member that uses the SV5 system has a unique password to gain access and the system cannot be opened without a correct password which ensures safe storage of your personal information.

Your data will be stored to use solely for your order information and guarantee and to contact you regarding your order or any further products which relate to your order. We promise that this will not be passed on to any third parties for marketing purposes or sold on to any data collection agencies.
It may be essential to pass your contact details on to our delivery or repair companies so they can arrange a suitable delivery date or repair service directly with you, in this case, your details will be passed on to the company to use solely for arranging the delivery or repair, they will not pass your details on to any other party without your prior consent.

We do not keep on file any details of cards used for payment. Once the card payment is processed and confirmed, any record of your card details will be deleted and shredded.
We are now working towards having all of our records solely on the computer system, however paper copies of orders will be stored in a locked storage cabinet for 10 years in line with our 10 year guarantee.

If you do not wish us to hold your details for 10 years we can delete and shred your order details at any time with your written consent, this will however void your guarantee.

Existing Customers – We will continue to store your order information for a minimum of 10 years in line with our guarantee, we will contact you occasionally with details regarding cleaning and care products to ensure your guarantee remains valid. If you do not want your details kept on file, please send your written consent and we will remove your details from our records. As mentioned above this will void your guarantee.

All Enquiries to Springvale Leather

When you request a brochure or more information via our contact form, if you select yes to the mailing list option, we will keep your details on file for a maximum of 12 months. We will keep a record in a secure file on our email systems in addition to a secure CSV file. Each computer which holds your personal information will only be accessible with a unique password given to each member of staff dealing with your enquiry. We will not hold any paper copies of your details and you can request in writing for us to remove your information from our database at any time.

If you require a brochure or you make an enquiry but do not select yes on the mailing list option, we will only hold your details until we have completed your enquiry, for a maximum of 6 months unless you state otherwise in writing. If you request a brochure or make an enquiry by phone, your details will be stored on the same files as mentioned above and any paper copies shredded once they have been transferred to the correct files.

The Right To Be Informed of the fact that you are collecting and storing their data and why.

We collect data when you complete an enquiry form on our website, send an email or contact us by post, phone, fax, social media or in person. We need all the information we ask for to ensure we can deal with your enquiry correctly, process any payments, fulfill your order, gain feedback regarding our products and services supplied to you and market the appropriate products to you including keeping you updated on any special offers we may have. The details we may hold on file for you are

  • Your name
  • Address
  • Phone numbers
  • Email addresses
  • Payment details (we do not hold these on any database)
  • Where you heard about us
  • What items you have purchased from us and how much you paid

The Right Of Access to the data that you have collected on them.

You can request in writing any information that we hold on file about you at any time. We will supply you with a copy in writing within 1 month from the date received.

The Right To Rectification if they want to correct or change any Personal Data you have about them.

You can request in writing any information that we hold on file about you at any time. We will supply you with a copy in writing within 1 month from the date received. You can then amend any details we hold in writing to us.

The Right To Be Forgotten and have their Personal Data be deleted from your records.

We can permanently delete your details off our SV5, CSV, email and any other files we store your details on at any time. Send your request in writing at any time and we will ensure your details are removed within 1 month from your request. This may void any guarantee supplied.

The Right To Data Portability and the transfer of their information to another business.

If you would like us to share your data with another company then please request this in writing.

The Right To Object To Processing And Direct Marketing, while you still hold their Personal Data.

All of our emails have an unsubscribe instruction at the bottom. You can unsubscribe at any time by emailing info@springvaleleather.co.uk.

The Right To Be Notified of any breach of their data with 72 hours.

If we have a breach in the system we will send out an email to all contacts ASAP.

Privacy Statement

We are committed to protecting your privacy. Authorised employees within the company on a need to know basis only use any information collected from individual customers. We constantly review our systems and data to ensure the best possible service to our customers. Parliament has created specific offenses for unauthorised actions against computer systems and data. We will investigate any such actions with a view to prosecuting and/or taking civil proceedings to recover damages against those responsible

Confidentiality

We are registered under the Data Protection Act 1998 and as such, any information concerning the Client and their respective Client Records may be passed to third parties.

However, Client records are regarded as confidential and therefore will not be divulged to any third party, other than Springvale Leather and its affiliates and, if legally required to do so to the appropriate authorities. Clients have the right to request sight of, and copies of any and all Client Records we keep, on the proviso that we are given reasonable notice of such a request. Clients are requested to retain copies of any literature issued in relation to the provision of our services. Where appropriate, we shall issue Clients with appropriate written information, handouts or copies of records as part of an agreed contract, for the benefit of both parties.
We will not sell, share, or rent your personal information to any third party or use your e-mail address for unsolicited mail. Any emails sent by this Company will only be in connection with the provision of agreed services and products.

Log Files & Cookies

Cookies are small files that we store on your computer's hard drive (via your web browser) to aid the functionality of our website. These cookies may contain some or all of the following information:

IP addresses are not linked to personally identifiable information. Additionally, for systems administration, detecting usage patterns and troubleshooting purposes, our web servers automatically log standard access information including browser type, access times/open mail, URL requested, and referral URL. This information is not shared with third parties and is used only within this Company on a need-to-know basis. Any individually identifiable information related to this data will never be used in any way different to that stated above without your explicit permission. Users should disable cookies in their browser if they don’t wish for their visit to be tracked. The reason we collect this information via cookies is to enable us to maintain your shopping basket should you leave our website and to accept any online order you make. It also helps us to track how our online advertising is working and what forms of marketing are successful. It can also help us to identify and resolve any technical issues on our website.
